This policy explains what Beauty and Fly collects through this website and in the course of your care, how it uses that information, who helps handle it, and the choices you have.

Your health information is protected under the Health Insurance Portability and Accountability Act (HIPAA) and New York law. This policy covers the website and Beauty and Fly's marketing; the Notice of Privacy Practices, which you receive at your first visit, governs your medical record.

Information Beauty and Fly Collects

Information you give Beauty and Fly directly:

• Contact details you enter on a form, a booking page or by phone: your name, email address, phone number and the treatment you are asking about.
• Your medical history, medications, allergies, consent forms and treatment notes, collected in the clinic and stored in the practice management system.
• Clinical photographs, taken with your written consent, before and after treatment.
• Payment details, which are processed by the practice's payment provider and never stored on this website.
• Anything you write to Beauty and Fly by email, text message or a form.

Information collected automatically when you use the site:

• Pages viewed, time on page, the link that brought you here and general location, collected through Google Analytics 4 running in Cloudflare Zaraz.
• Device, browser and approximate location, so pages load correctly.
• Cookies and similar identifiers, described below.

What Your Information Is Used For

The information above is used to answer your inquiry, book and confirm appointments, provide your treatment, keep your medical record, take payment, send appointment reminders and aftercare instructions, and to tell you about treatments and offers if you have opted in. Website analytics are also used to understand which pages are useful and to improve the site.

Your personal information is never sold, and your health information is never used for advertising.

Text Messages and Email

If you give Beauty and Fly your mobile number and consent, it may text you appointment reminders, confirmations, aftercare notes and, only if you have opted in separately, marketing messages. Message frequency varies. Message and data rates may apply. Reply STOP to any text to opt out and HELP for help. You can unsubscribe from marketing email using the link in any message. Opting out of marketing does not stop appointment reminders, which you can switch off by telling Beauty and Fly directly.

Your consent to receive text messages is not shared with third parties for their own marketing.

Who Helps Beauty and Fly Handle It

A small number of service providers help handle your information, each working on the practice's behalf under a contract that restricts what they can do with it:

• Aesthetic Record, the practice management and medical-record system, which stores your chart, consents and clinical photographs.
• Health Hue Hub, which runs the booking forms, appointment reminders, email and text messaging.
• Health Hue Digital, which builds and maintains this website and Beauty and Fly's marketing on its instructions and does not use your information for anything else.
• Cloudflare, which hosts the site and runs its analytics layer, and Google Analytics 4 for aggregate site statistics.
• A payment processor for card payments, which handles your card details directly under its own security standards.

Beyond those providers, Beauty and Fly shares information only when the law requires it, to protect someone from harm, or with your written permission.

Before-and-After Photographs

Clinical photographs are part of your medical record. Beauty and Fly shows a photograph on this website or in marketing only with your separate written consent, which you can withdraw at any time by contacting Beauty and Fly. Withdrawal stops future use; it cannot recall printed material already distributed.

Cookies and Analytics

This site sets a small number of cookies to keep it working and to measure how it is used. Analytics run through Cloudflare Zaraz, which loads Google Analytics 4 at the edge, so your browser is not sent to third-party tracking scripts directly. You can block cookies in your browser settings; the site still works, though some booking features may not.

Retention and Security

Medical records are kept for at least six years after your final appointment, as New York law requires for adults, and longer for minors. Inquiry and marketing information is kept while there is a reason to contact you, and deleted on request. Records are held in systems that use encryption in transit and at rest, access controls and audit logs, and access to your chart is restricted within the practice.

Your Rights

You can ask Beauty and Fly to:

• See or receive a copy of the information Beauty and Fly holds about you, including your medical record.
• Correct information that is wrong or incomplete.
• Delete information Beauty and Fly no longer needs to keep. Medical records are subject to the retention periods above and cannot be deleted before they run out.
• Stop marketing messages at any time.
• Withdraw consent for the use of your photographs.

To make any of these requests, contact Beauty and Fly using the details below. It will respond within 30 days. You will not be treated differently for exercising these rights. If you believe your health privacy rights have been violated, you may also file a complaint with the U.S. Department of Health and Human Services Office for Civil Rights.

Children

This website is not directed at children under 18, and information is not knowingly collected from them online. Treatment of a minor requires a parent or guardian present and their written consent.

Changes to This Policy

Beauty and Fly will post any changes here and update the date at the top of the page. Continued use of the site after a change means you accept the updated policy.
